Managing instance users

If you are an admin for an Evo instance, you can add users to and remove existing users from the instance.

You cannot change a user’s details, such as their name and email address, as these are managed as part of their Bentley account.

Evo instance user roles

Users assigned to an Evo instance can have one of two roles: User or Admin.

Instance users

An instance user has limited access to the instance, based on what workspaces they have permissions for. Users can:

  • See workspaces they have been assigned to
  • Create new workspaces
  • Assign other users who belong to the instance to a workspace with permissions that are equal to or lower than their own, if they have a permission level that allows them to do so

An instance user cannot:

  • See any information about workspaces they have not been assigned to
  • Add new users to the instance

Instance admins

An instance admin has full access to the instance. They can:

  • Add new users to the instance
  • Revoke access to the instance for existing users
  • See all workspaces in the instance, even those to which they have not been assigned

Note that some workspace actions can only be carried out if the admin has the workspace permissions to do so.

Adding users to an Evo instance

To add new users to an Evo instance, click on Users in the sidebar.

To add a single user to the instance, enter their email address and select what role they will have:

Next, click Assign user.

If you want to add multiple users to the instance, it is a good idea to group them according to the role you wish them to have. For example, here three users can be assigned as users at once:

Users who already have a Bentley account will be able to sign in right away. Users who do not have a Bentley account will be emailed and invited to create one. They will appear in the Users list once they have accepted their invitation.

Removing users from an Evo instance

When you remove a user from an instance, they no longer have access to that instance and the resources in it. However, they remain visible in the workspaces they had permissions for. Re-adding them to the instance will restore their access, along with the permissions they had before they were removed.

To remove a user from an instance, click the remove button () for that user. You will be asked to confirm your choice.

Changing a user’s role

If you need to change an existing user’s role, you need to first remove them from the instance, then re-add them to the instance with the new role.

Because removing a user from an instance does not remove the record of what permissions they had, adding them with the new user role will reinstate their previous workspace permissions.
